The writing plan for an information request letter in the United States is as follows:

 

1. Open with a direct request, if you anticipate a favorable response.

2. Provide logical information justifying the request.

3. Close with appreciation.

 

For a Japanese supplier, the letter strategy might be modified as follows:

 

1. Open with a comment on the season and compliments to the receiver.

2. Explain with humility why the information is required. Request the information.

3. Close with deference and appreciation.

 

For a French supplier, the letter strategy might be modified as follows:

 

1. Open with goodwill statement and proper attention to title of receiver.

2. Explain information request with tone of appreciation and deference.

3. Close with appreciation and respect to receiver.

 

For a German supplier, the letter strategy might be modified as follows:

 

1. Open with a statement referencing any previous correspondence or relations.

2. Request information; provide straightforward explanation of rationale.

3. Close with appreciation and end dating.
